You’ll serve as a key connection point between clients, referral partners, examiners, and our internal team—helping ensure every case is handled efficiently, accurately, and professionally.

What You’ll Do:

As the central hub of our daily operations, you will:
  • Lead and coordinate mobile paramedical cases from scheduling through completion, ensuring timely and efficient execution.
  • Serve as the primary point of contact for clients, referral partners, examiners, and field personnel.
  • Manage daily office operations, including supplies, equipment, vendors, and administrative processes.
  • Monitor case status, identify potential issues or delays, and take initiative to resolve them promptly.
  • Ensure all documentation, records, and case information are accurate, complete, confidential, and compliant with HIPAA and company standards.
  • Manage incoming calls, emails, and other communications with professionalism, responsiveness, and exceptional customer service.
  • Coordinate closely with examiners and field teams to ensure appointments and cases remain on schedule.
  • Maintain accurate scheduling and documentation systems while ensuring deadlines and service expectations are consistently met.
  • Support process improvements and contribute ideas that enhance efficiency, quality, and the overall client experience.
  • Take ownership of assigned responsibilities and follow through reliably in a fast-paced, deadline-driven environment.

  • Experience in healthcare case management, medical office operations, paramedical services, or a related healthcare environment.

  • Excellent verbal and written communication skills with a professional and service-oriented approach.
  • A dependable work ethic with strong attention to detail and a commitment to accuracy.

  • Strong interpersonal skills and the ability to build positive relationships with clients, partners, examiners, and team members.
  • Proficiency in Microsoft Office and experience with scheduling, case management, or documentation systems.
  • Ability to handle confidential information with discretion and maintain HIPAA compliance.
  • A Bachelor’s degree in Business Administration, Healthcare Administration, or a related field is preferred; equivalent education and/or relevant professional experience will be considered.
